How information is used
We use this information to respond to inquiries; review and administer membership; record accepted statements; manage dues, registrations, events, visits, sponsorships, and giving; prepare acknowledgments; communicate about those activities; keep administrative and financial records; and protect the site against fraud, misuse, or duplicate submissions.
Optional ministry updates are separate from application, payment, and event administration messages. Where a form offers optional updates, your choice is recorded. You may ask leadership to change that choice later.
What may appear publicly
Membership applications, visitor records, contact messages, and private registration records are not published as public directories on this website.
A donation appears on a donor scroll only when you choose public recognition and payment is confirmed. Your message and any honoree name may then be public; your own name and the gift amount appear only if you separately choose to display them. Email, phone, address, and your relationship to an honoree are not part of the donor scroll. Ask us to remove recognition if you change your mind. Copies already made by other visitors or search services may remain outside our control.
A sponsor's organization name and logo may appear after confirmed payment and organizer approval. Supply only a logo or personal information you have permission to share.
People and services that help operate the site
Authorized ministry administrators access records according to their responsibilities. Administrative exports and backups may be used for membership, financial, and event administration. Event information may be shared with registration or timing providers, including RunSignup, for race administration.
Service providers process information needed to operate the website, database, email, and payments. Current services include Vercel for hosting, Supabase for data and related services, Resend for configured email delivery, and Stripe for checkout. Email also passes through the sender's and recipient's email providers.
Card details are entered on Stripe, not stored in the ministry's website database. We receive payment identifiers and confirmation information. Stripe also receives checkout information such as purchaser email and applicable payment details; event participant birth dates, race categories, church information, and waivers are not sent as payment details.
Providers have their own practices: Stripe privacy, Supabase privacy, Vercel privacy, and Resend privacy. We may also disclose information when required by applicable law or to respond to a legitimate security or fraud issue.
Technical information and browser storage
Website and service requests can include an IP address, browser or device information, requested page, time, and error information. Providers may retain service logs. The application also uses security and request records, including hashed identifiers, to limit abuse and avoid duplicate submissions.
Browser storage supports site preferences, administrative sign-in, and form or checkout recovery. Storage used for payment recovery contains identifiers rather than card details. Blocking or clearing storage may interrupt sign-in or recovery; use your original private payment link and contact us before making a duplicate payment.
The site loads web fonts from Google, which receives the connection information needed to deliver them. See Google's privacy policy. Following an external link, such as Facebook, Substack, or a map, brings you under that service's privacy practices.
Retention, security, and your choices
Records are retained while needed for the activity, administration, legal obligations, financial recordkeeping, or documentation of accepted statements. Some financial or acknowledgment records may need to be retained after other information is no longer needed. Leadership reviews retention and recovery practices.
The site uses access controls to restrict private records. No website, email, export, or backup can be guaranteed completely secure. Do not email full card details, account passwords, or private payment links to people who do not need them.
You may contact us to request access, correction, deletion, a change in optional communications, or removal of public donor recognition. We may need to verify your authority before changing or disclosing a record, and some records may need to be retained for legitimate legal or administrative reasons. Tell us which activity the request concerns; do not include unnecessary sensitive information.
Children's information
Parents or legal guardians should complete registrations involving children and review the relevant event notices and waivers. Children under 13 should not submit personal information directly through the site's forms. If you believe a child has submitted information without appropriate adult involvement, contact us so leadership can review it.
Updates and contact
We may update this notice as the site's activities or practices change. The date above identifies the current version. Changes to this page do not silently replace the acknowledgment text saved with a previous application or waiver.
